At RideSenior, our goal is to provide transportation that is designed around the practical needs of older adults rather than simply moving passengers from one address to another. Many of the seniors who use RideSenior are travelling to hospitals, medical clinics, rehabilitation centres, dialysis appointments, specialist visits, retirement residences, and other healthcare-related destinations. Some passengers are completely independent, while others may walk slowly, use a cane or walker, travel with a foldable wheelchair, have difficulty navigating a large hospital, or simply feel more comfortable when someone is available to provide patient and respectful assistance. For this reason, every RideSenior Pro should understand the difference between a standard hospital door or curbside pickup and a booking that includes Hospital Pickup Assistance.

RideSenior is also strengthening its service documentation process by requiring RideSenior Pros to take at least one appropriate service photo during each ride. This requirement is intended to create a simple record that the service was performed and to help RideSenior maintain better communication, service history, and accountability. For families arranging transportation for an older parent or relative, especially when they cannot personally accompany the passenger, a clear service record can provide useful reassurance that the scheduled transportation was completed.
These two requirements are especially important because RideSenior is not intended to operate like a conventional taxi or rideshare service. Our passengers are often seniors whose transportation needs require more patience and coordination. A driver should therefore review the booking information carefully before beginning every trip, including the pickup location type, requested assistance, hospital information, pickup instructions, mobility information, and any notes submitted by the customer or family.
When a booking involves a hospital, RideSenior Pros should pay particular attention to whether the customer selected Door / Curbside Pickup or Hospital Pickup Assistance. These selections represent different expectations and should not be treated as interchangeable. Understanding the distinction before arriving at the hospital helps prevent situations in which an older passenger is waiting inside while the driver is waiting outside, or a family expects assistance from a hospital unit when the driver believes the booking requires only a curbside pickup.
What Is Required for Hospital Pickup Assistance?
When Hospital Pickup Assistance is selected on a RideSenior booking, the service is intended to provide additional pickup support beyond simply arriving outside the hospital and waiting in the vehicle. The RideSenior Pro should carefully review all information provided with the booking, including the hospital name, building or entrance, floor, unit, room number, pickup area, customer contact information, and any special instructions available in the booking.
Depending on the information provided and the circumstances at the facility, the RideSenior Pro may be expected to park the vehicle safely and legally, enter the appropriate public area of the hospital, locate the designated pickup point, and assist the passenger in making the transition from the hospital to the vehicle. If a specific entrance, reception area, unit, or other permitted pickup location has been provided, the RideSenior Pro should use that information rather than automatically waiting at the curb.
For example, if the booking states that the passenger is waiting at a particular hospital unit and Hospital Pickup Assistance has been requested, the driver should not assume that the passenger will independently come downstairs and search for the vehicle. The purpose of the assistance option is to provide additional support when a standard curbside pickup may not be sufficient. The RideSenior Pro should follow the booking instructions, communicate with the passenger or appropriate contact when necessary, and determine the correct permitted pickup point within the facility.

At the same time, RideSenior Pros must always respect hospital rules, privacy requirements, access restrictions, parking regulations, infection-control requirements, and instructions from hospital staff. Hospital Pickup Assistance does not authorize a driver to enter restricted clinical areas or disregard facility policies. If access to a particular floor, unit, or room is restricted, the driver should follow staff instructions and coordinate an appropriate meeting point with the passenger, family member, or hospital staff where appropriate.
Hospital Pickup Assistance is transportation-related assistance and should not be confused with medical care. RideSenior Pros are not being asked to perform nursing duties, clinical transfers, lifting, medication management, medical monitoring, or any task that requires healthcare training. If a passenger requires an ambulance, stretcher transportation, clinical supervision, specialized medical transportation, or physical assistance beyond what can safely be provided within the RideSenior service, the situation should be referred to the appropriate service rather than handled as an ordinary RideSenior trip.
The most important principle is that the RideSenior Pro should never make assumptions about a senior passenger’s abilities. Some seniors may want to walk independently and only need the driver to meet them at the hospital entrance. Others may appreciate having someone accompany them from an appropriate public pickup area to the vehicle. Communication should always be respectful, and assistance should be offered rather than imposed whenever the passenger is able to express their preference.
The same attention should continue when the passenger reaches the vehicle. RideSenior Pros should allow sufficient time for the senior to enter the vehicle comfortably and should avoid creating a rushed experience. When a passenger has a walker, cane, foldable wheelchair, or other mobility aid that the vehicle and booking can accommodate, the driver should ensure that the item is stored securely before beginning the journey. Seat belts should be available and used in accordance with applicable requirements, and the driver should begin driving only after the passenger is safely seated and ready to leave.
Hospital transportation can involve delays that are outside the control of both the passenger and the driver. A patient may be waiting for discharge paperwork, medication, instructions, or assistance from hospital staff. RideSenior Pros should therefore communicate clearly if circumstances at the pickup point differ from the booking information. If there is confusion about where the passenger is located or what assistance was requested, it is better to contact the customer or RideSenior than to leave the location based on an assumption.
RideSenior also asks every Pro to pay close attention to the service photo requirement shown in booking reminders and during the completion process. During the ride, the RideSenior Pro is required to take at least one appropriate photo connected with the service. The purpose is to maintain a practical record of the completed transportation service and support RideSenior’s service documentation.
The photo does not need to show the senior’s face. In many situations, the most appropriate service photo may be the vehicle at the pickup or drop-off location, the hospital or facility entrance, the destination signage where photography is permitted, or another neutral image that reasonably documents the trip. This is particularly important in healthcare environments, where privacy must be respected and photography may be restricted.
If the driver wishes to take a photograph that clearly includes the passenger, family member, caregiver, hospital staff member, or another identifiable person, permission should be obtained first. RideSenior Pros should never pressure a senior to appear in a photograph. A passenger’s transportation service should not depend on agreeing to be photographed, and a neutral service photo should be used when consent is not available or when photographing a person would be inappropriate.
RideSenior Pros should also avoid photographing medical records, computer screens, wristbands, prescriptions, patient charts, room information, or other sensitive personal or medical information. The service photo is intended to document the transportation activity, not the passenger’s medical circumstances. A simple photograph of the RideSenior Pro’s vehicle safely positioned at the destination or an appropriate exterior view of the facility can often provide sufficient service documentation without unnecessarily capturing private information.
Drivers should also follow any hospital or facility rules concerning photography. Some healthcare locations may prohibit or restrict photographs inside the building. In those situations, RideSenior does not expect a Pro to violate facility policy in order to satisfy the service-photo requirement. Instead, the driver should choose an appropriate alternative, such as a photograph of the vehicle or an exterior location where photography is permitted.
The service photo should be taken safely. A RideSenior Pro should never use a phone to take a photograph while driving or while the vehicle is moving. The vehicle should be safely parked before any service documentation is completed. Safety always takes priority over obtaining a particular image.
The photo requirement is also part of RideSenior’s broader effort to build a consistent service history. When transportation is arranged by an adult child, caregiver, retirement residence, clinic, or another organization, the person making the booking may not be physically present during the ride. Maintaining a record of service completion helps RideSenior review bookings when questions arise and provides an additional operational record associated with the transportation service.
When the trip is complete, RideSenior Pros should follow the completion process in the RideSenior system and click DONE as instructed. The required service photo should be uploaded as part of that process when requested by the system. Drivers should not mark a booking as completed before the transportation service has actually been completed. Accurate completion records are important because RideSenior uses booking status information for customer service, internal records, partner administration, and other operational processes.
These procedures are particularly important as RideSenior continues to serve more hospitals, retirement residences, clinics, seniors, caregivers, and families. A transportation network serving older adults needs consistent standards across cities. A customer using RideSenior in Ottawa, Calgary, Edmonton, Toronto, Vancouver, Winnipeg, or another community should be able to expect the same basic approach to communication, hospital pickup support, service documentation, and respectful treatment.
Every RideSenior Pro contributes directly to that consistency. Small actions can have a significant effect on the passenger experience: reading the booking notes before departure, checking whether Hospital Pickup Assistance was selected, contacting the customer when necessary, arriving at the correct entrance, giving the passenger enough time to enter the vehicle, handling mobility equipment carefully when applicable, documenting the service appropriately, and completing the booking correctly in the system.
For many RideSenior customers, transportation is connected to an important moment in their lives. A passenger may be returning home after a hospital visit, travelling to an appointment they have waited months to attend, going to recurring treatment, or relying on RideSenior because family members are unable to drive them that day. What may appear to be a routine booking to a driver can therefore be an important source of independence and reassurance for the senior and their family.
RideSenior asks all RideSenior Pros to review these requirements carefully and incorporate them into every applicable booking. When Hospital Pickup Assistance is selected, please treat it as a request for additional transportation-related support rather than a standard curbside pickup, while always remaining within RideSenior’s non-medical scope and respecting hospital rules. When completing any RideSenior service, please remember that at least one appropriate service photo is required, while protecting the passenger’s privacy and obtaining permission before intentionally photographing identifiable individuals.
By following these standards consistently, RideSenior Pros help create a service that is more organized, transparent, senior-friendly, and dependable. RideSenior appreciates the time, patience, and care that our Pro partners bring to the community and thanks every driver for helping us provide transportation that respects the dignity, comfort, safety, and independence of older adults.
Thank you for being part of the RideSenior community and for helping us provide better transportation experiences for seniors and their families.
